Article 1: Name and Purpose
Section 1
The name of this organization shall be the Asian Pre-Pharmacy Association and may be referred to as APPA.

The purpose of the Asian Pre-Pharmacy Association is to provide pre-pharmacy students the necessary education, valuable resources, meaningful opportunities, and strong support required in pursuing a successful pharmaceutical career.

Article 2: Membership
Section 1
Any individual that is a student, faculty, and staff at the University of Texas at Austin is eligible for membership in APPA. There are to be no other restrictions.

Section 2: Active Member
You will need to pay dues - $35 for the year and $20 for the semester - and fulfill the following requirements.

Your duties as President shall be as follows:

Your duties as Event Chair shall be as follows:
Section 6: Mentor/Liaison
Your duties as President shall be as follows:
- You will be responsible for everything APPA related. This means that all of the officers’ duties are essentially your duties as well.
- You will serve as an official representative of APPA to the University.
- You must look over each officer to ensure that responsibilities are executed up to par and that all officers are working together. You must always follow up on officers and their tasks.
- Externally, you will serve as the voice of APPA to other University campus organizations and relevant guest speakers.
- You must be responsible for contacting and scheduling the guest speakers for General Meetings. You are expected to represent the organization well by upholding professionalism and respect when working with guest speakers, school faculty, and other organizations.
- You will be responsible for finding out about special event days and lectures pertaining to pharmacy and relaying the event information to members so that they may attend.
- You are the main contact of this organization for other on-campus organizations such as CNS. You are required/responsible for representing this organization by attending CNS meetings and relaying information to officers.
- You must keep track of all officers and their hours/attendance to all things related to APPA. Consequences should be addressed when needed. You must maintain your active status as well.
- Your main goal is to build relations and to continue being active in those relations with the school.
- To be elected, you must serve as an officer of APPA for at least a semester before to gain better skills and knowledge of the organization.
Section 2: Vice-President
Your duties as Vice-President shall be as follows:
- In the absence of the President due to impeachment, resignation, or any other probable causes, you must step up and resume the duties of the President.
- You will be in charge of the mentorship program, which includes organization of the mentors/mentees and making sure that they fulfill their requirements. To do so, you must coordinate an organized system to ensure the success of the mentorship program.
- You will be in charge of the development of families in APPA and ensure that good relations are built between officers and members.
- You must handle all internal conflicts with confidence and the best interest of APPA in mind.
- All presidential duties are essentially your duties as well.
- You are responsible for taking pictures at general meetings and every APPA-related events. If you are unable to attend an event, you must assign another officer to take pictures for you and retrieve everything for your files.
- You are to promote our hosted events by making Facebook events, flyers for profile pictures, hard copy flyers to advertise on campus, banners for every tabling event, maintaining the Welch window, designing t-shirts for members, working with Secretary on maintaining the website, and taking over any creative aspects when needed.
- You must keep an organized way of sharing pictures with the secretary so that he/she can post them on the website and/or for members to retrieve and see.
- You main goal should be to publicize APPA and get our name out to externals.
Section 3: Secretary
Your duties as Secretary shall be as follows:
- You are responsible for being the communicator between officers and members. You can accomplish this by sending out informative emails as needed to update members on what is going on in APPA. Be sure to keep professionalism.
- You must always document minutes during meetings of any sort and activities. Nothing should go unmentioned to avoid conflicts.
- Always come to a meeting prepared for taking notes and to present information to members.
- You are responsible for keeping track of members’ attendances and fulfilled requirements throughout the semesters.
- You should be present at all events in order to make proper documentation. However, if you cannot make an event, make sure you assign someone else to document all needed information and retrieve that documentation for your records. Make sure to keep the database of all hours accessible for members but always keep confidentiality.
- You are responsible for updating the website after each general meeting, event, or occasion and post new information for members such as upcoming events on the calendar, next general meeting information, pictures, points, etc. Always make sure the website is working well.
Section 4: Treasurer
Your duties as Treasurer shall be as follows:
- You are responsible for all monetary aspects of the organization. You will collect dues, maintain a balance sheet, and organize a way to safely and accurately store our money.
- You must keep a balance of no less than $300 at any point in time and try to raise that balance by the end of the year.
- You are responsible for purchasing all food items for general meetings and overseeing all other purchases for APPA-related events such as fundraisers.
- You are solely responsible for being honest with APPA’s money. Any missing money will come out of your personal pocket.
- You are responsible for raising sufficient funds needed by the organization to fully function.
- You must plan enough fundraising opportunities for members to reasonably meet the highest requirement.
- You must plan and organize multiple fundraising opportunities throughout the year, especially ushering. This includes managing rides and being present at all fundraising events. If you cannot attend an event, you must assign another officer to take your place, and provide all information for the officer to lead members.
- You are expected to represent the organization well by upholding professionalism and respect when working with businesses/companies. This includes finding sponsors, raising donations, organizing performers and participants as necessary.
Section 5: Event Chair
Your duties as Event Chair shall be as follows:
- You are responsible for planning and organizing multiple service and volunteering opportunities. This includes managing rides and being present at all service events. If you cannot make an event, make sure you assign another officer to take your place and provide all information for the officer to lead members.
- Events must include both Austin community events and UT on campus events with a focus related to either culture or health.
- You must plan enough service opportunities for members to reasonably meet the highest requirement.
Section 6: Mentor/Liaison
- The mentor/liaison must be a previous officer of APPA and understand the duties and responsibilities that come with being an officer this organization.
- The job of the mentor is to help facilitate the growth of APPA by giving advice to the current officers of APPA.
- The mentor should be able to answer questions that the officers or any of the members may have by being consistently available either via email or by attending the general meetings.
Article 4: Election of Officers
Section 1: Qualifications
All candidates must hold APPA in their best interests, work to maintain and improve this organization, and have interest in a health-related career. Candidates for all officer positions besides the president must be an active member of APPA for at least one year. Candidates for president must be an officer of APPA for at least one year. Each officer term lasts for one school year.
Section 2: Election Process

Officers may be removed from officer by other officers if there is a substantial reason such as violating APPA's purpose and harming its vision or not fulfilling one's duties. The process to remove an officer is:
Section 4: Resignation
Resignation of an officer before the end of their term must require a written resignation to the President and a meeting between officers will occur.
Section 5: Consequences of Removal/Resignation
All candidates must hold APPA in their best interests, work to maintain and improve this organization, and have interest in a health-related career. Section 2: Election Process
- Application deadlines and election interviews shall be determined by the current officers. Failure to meet a deadline/interview will result in a withdrawal of the candidate.
- Candidates will be interviewed in private by a group of at least three current officers. Officers will choose from the list of interviewed candidates and results will be announced by the end of the week of the last interview.
- New officers will assume their positions at the last meeting of the year.
Section 3: Removal
Officers may be removed from officer by other officers if there is a substantial reason such as violating APPA's purpose and harming its vision or not fulfilling one's duties. The process to remove an officer is:
- Submitting a written request by at least three officers.
- Notifying the officer of the request and asking them to be present at the next officer meeting and prepared to speak
- At least 4 of the officers must agree to remove the officer.
Section 4: Resignation
Resignation of an officer before the end of their term must require a written resignation to the President and a meeting between officers will occur.
Section 5: Consequences of Removal/Resignation
- Must maintain attendance for at least one following OM AND GM before leaving so the rest of the officer team has time to transition properly to changes.
- You must pay a fine of $75 to Treasurer before your leaving.
Article 5: Amendments
To propose an amendment, a written request can be made by any member of APPA and must be submitted to an officer. At the next officer meeting, the officers will look at this request. A two-thirds majority vote of officers is needed for the proposed amendment to come into effect.
Article 6: Meetings
All meetings will occur on a weekly basis or other regular basis at a time selected by Asian Pre-Pharmacy Association and will follow the procedure set forth below:
Section 1: Attendance
Officers must be present at all officer and general meetings with the exception of testing or exams. If there is an excuse for why you are absent, please inform all officers at least 48 hours in advance.
Section 2: Tardy Policy
Officers must be on time to all officer and general meetings with the exception of testing or exams. If there is an excuse for why you are late, please inform all officers at least 2 hours in advance.
Section 3: Failure to be present/on time
If you fail to comply with the policies above then you must complete one of the following options:

All officers must report all APPA-related information to the president. The president will lead discussions in regards to all reported information and speak for the goodness of the members. All officers must vote on all motions and decisions before reaching a final statement. Any other business put forward by the members of the organization must also be discussed and voted on with the interest of members. Dismissal of all meetings by the President.

Article 7: Finances
Asian Pre-Pharmacy Association will finance the activities it engages in by the following means:
Section 1: Membership Dues
Members will be asked to pay $20 per semester or $35 for the entire year. The dues will go forth APPA’s budget for any needed funding for the organization’s events, food for meetings, or any necessary items for members as rewards, graduation gifts, or T-shirt funding.
Section 2: Budget Sheets
Treasurers must keep and update an accurate budget sheet with all the purchases made with APPA funds. It is to be kept with all other documents for officers to view and monitor APPA’s money as well.
